The customer, a leader in restaurant, catering, banqueting and facility services, in order to improve the performance of its SAP ERP system and simultaneously reduce database occupancy, asked Gruppo SCAI to undertake a data archiving project.

This project started in February 2023 and was successfully completed in July of the same year. For each impacted business area (Finance, Sales, Purchasing and Logistics), all documents associated with and created in the period 2011-2016 were correctly archived according to standard SAP rules.

SAP’s way of managing archived data is such that it can still be accessed by the ERP, thus guaranteeing the usability of the data: users can access the archived data through specific commands, reports and tools for retrieval and visualisation, which allow them to view historical records and fulfil legal and reporting requirements without impacting performance.

As a result of the archiving, the customer was able to benefit from increased operational efficiency, thus improving its business processes. The archiving project also had positive repercussions in the system and infrastructure area by reducing backup and recovery times and facilitating updates of releases and upgrading packages. Not only does the database and its tables have a lower occupancy rate, but the memory and hardware costs are significantly reduced, as well as the maintenance and management costs of the application infrastructure.
